Leasdesk is condominium & HOA management software for the people who run a single community. The requests, the amenity calendar, the residents and the month’s invoices live in one place, and each person sees the part that is theirs.

Staff on site, board members and residents open the same web app on a phone or a computer, with nothing to install.

  • Independent property managers who run one condominium or HOA.

Run by a board, without a back office

Many associations have no office and no paid staff. A board president answers the requests, a volunteer treasurer sends out the dues and checks the bank. This is HOA management software a board can run on its own.

  • Share the work. Each board member gets a seat with the role that fits, and a ticket can be assigned to whoever handles it, so a request does not wait on one person’s phone.
  • Keep the records when the board changes. Tickets, invoices and payments belong to the association, not to someone’s inbox. The last administrator hands over to another member before leaving.
  • Houses work too. A unit does not need to sit in a building, so an HOA of single-family homes or townhouses fits as well as a condominium tower.

A typical week, and how Leasdesk carries it

Requests, from report to closure

A resident reports a leak from their phone. The ticket carries a priority and the unit, you assign it, and it moves from Open to Closed with comments and photos. The reporter is mailed when someone else moves the ticket, the assignee when it is handed to them, and both on every comment but their own. A recurring job, like a monthly pump check, opens its next ticket once the last one is resolved. More in tickets and maintenance.

Amenities booked under the community’s rules

The pool, the gym, the clubhouse. Each amenity carries its rules: opening hours, slot length, a monthly quota per unit, a fee, and whether a booking needs approval. Residents book on the shared calendar, you approve what needs approving, and each booker gets a reminder within the 24 hours before a confirmed booking. More in amenity booking.

The month’s invoices (Pro)

Issue the month in one step and every unit gets its invoice: the monthly fee (dues), the finished bookings, its share of the expenses and a late fee on what is overdue. The residents linked to each unit are mailed its invoice, with a link to open it and download the PDF. When a payment comes in, you record it and mail the receipt. More in billing and dues.

Then import the bank statement as a CSV. Leasdesk suggests the invoice behind each line; you confirm it, split one transfer over several invoices or ignore the bank’s fees. Leasdesk does not take payments online: residents pay the way they do today, and you record it.

Residents with the right access

Invite each household from its unit, as owner or tenant, with a move-in and a move-out date. A resident sees their own unit and what belongs to it: their invoices, their bookings, the tickets they opened, the announcements meant for them, their packages and visitor passes, the bylaws, the property’s expenses and the maintenance schedules. Nothing of the other units. Residents never take a staff seat.

Announcements (Pro)

A water shut-off, the pool closed for repairs. Post it to the whole community, one building or chosen units, owners only or tenants only. Each resident in the audience is mailed once, in their own language, and finds it in the app.

Packages and visitor passes at the desk (Pro)

If the community has a front desk or a gate, the Officer role runs it. A package is logged for a unit and the household is told at once. Residents create visitor passes, shared as a link or a QR code; the Officer scans the code at the gate and admits the visitor in one tap, and the household hears of the arrival. The incident log keeps a record of everything else.

Contracts, insurances and maintenances (Pro)

Contracts with their notice period, insurances with their end date, maintenances with their interval. A daily sweep mails the people responsible before a contract or an insurance expires and when a maintenance is due. The inventory and the meter readings sit beside them.

What Starter covers, and what Pro adds

Starter is free for one property, with caps on units, staff seats and storage (the free plan). It covers:

  • the structure: buildings, units and amenities;
  • residents invited per unit;
  • the bylaws;
  • tickets and amenity bookings.

Pro adds:

  • invoices, expenses and bank reconciliation;
  • contracts, insurances, maintenances and inventory with their alerts, and the meter readings;
  • announcements to the residents;
  • the desk’s packages, visitor passes and incident log.

Pro starts with a free trial, with the card on file; nothing is charged before it ends. Units, seats and storage above what Pro includes are billed by use. See the plans.

How to start

Create an account and the setup wizard takes it from there: choose One property, describe the community, pick Starter or a Pro trial, generate the buildings and units from blocks and floors with a preview you can edit, tick the amenities from a checklist, and invite whoever helps you. A short tour then shows each page the first time you open it.

In each person’s language

Leasdesk speaks English, Spanish, Portuguese and French. The app, every mail and the invoice PDF follow the language each person prefers, so a resident can read Spanish while the treasurer works in English.
